Split File Functionality
The Split File feature allows CALPADS to automatically partition large upload files during submission. This enhancement improves processing efficiency and eliminates the need for manual file splitting by Local Educational Agencies (LEAs).
Overview
Over time, CALPADS has experienced:
- An increase in the number of LEAs
- More users accessing the system daily
- Additional data collections
- An expanded number of required submission files
- Increased data volume and validation rules
Large file submissions previously resulted in:
- Processing delays
- Manual file splitting by LEAs
- Administrative burden
- Slower system performance for all users
The Split File enhancement addresses these challenges by automatically dividing large uploads into smaller, system-optimized partitions.
How Split File Works
When selected during file upload, CALPADS will:
- Automatically partition the file
- Organize partitions by school
- Process smaller partitions more efficiently
- Display results for each partition
Key Points
- Partitioning occurs by school, not by file size.
- Some partitions may contain zero records (this is normal).
- File statuses such as Partial Post or Partial Rejection may occur.
- Troubleshooting and resubmission procedures remain unchanged.
Unsupported File Types
Split File does not support:
- LEA-level record types (e.g., LEAP, SELA)
- Students with Disabilities file types
Submitting a File Using Split File
Step 1: Navigate to File Upload
- Log in to CALPADS.
- From the Home screen, select:
- Upload
- View Submissions
- Upload File
- Select the appropriate File Type.
- Choose your file.
Step 2: Select Split File Option
- Locate the Options column.
- Check the box labeled Split File.
- Click Upload.

Step 3: Monitor File Status
- Navigate to View Submissions.
- Select Refresh as needed.
- Review the file status.
Possible statuses include:
- Processing
- Partial Post
- Partial Rejection
- Posted
- Rejected
Split files typically complete processing faster than non-split files, contributing to improved overall system performance.
Viewing Split File Results
Standard View
Selecting View displays:
- Total record count
- Processing status
- Error details (if applicable)
Viewing Partitions
If Split File was selected:
- Select View Files.
- Review the list of partitioned files.
- Select individual partitions to review record counts and errors.
You may observe:
- Multiple partitions
- Some partitions with zero records
- Separate processing results for each school
When Files Do (and Do Not) Split
Partitioning depends on the number of schools included in the file.
File Does Not Split
- Records belong to one school only
- Split File is selected
- Result: No partitions are created
Even large files will not split if only one school is represented.
File Splits
- Records belong to multiple schools
- Split File is selected
- Result: File is partitioned by school
Even small files will split if more than one school is included.
Troubleshooting and Resubmission
If a file results in:
- Partial Rejection
- Partial Post
- Rejection
Follow your standard process:
- Correct errors in your Student Information System (SIS).
- Regenerate the file.
- Resubmit the full corrected file.
!!! important Do not remove previously posted records before resubmitting. Including previously posted records will not trigger errors or prevent processing.
The Split File feature improves efficiency but does not change your workflow.
